RENTAL TERMS & CONDITIONS
Terms and Conditions for renting items from Bella le Fleurs.
By renting from Bella le Fleurs, you are agreeing to the following terms and conditions:
Payment: In order to confirm your booking and secure our services for your event, we kindly request payment in full. Additionally, any outstanding balances for additional costs should be settled no later than 30 days prior to the event date. This policy enables us to ensure the highest quality of service and preparation for your event, while also facilitating proper allocation of resources and staff. Your cooperation and understanding in adhering to our payment policies are greatly appreciated. Should you have any questions or concerns, please feel free to reach out to us at your convenience.
Rental Items: All rental items, which are the property of Bella le Fleurs, are intended for one-time use during the agreed-upon event period, with substitutions permitted for rental items in cases of unforeseen circumstances.
Disclaimer: Please be aware that all our rentals exclusively feature artificial flowers crafted with the utmost care. We utilize premium-grade real touch artificial flowers meticulously chosen and arranged to achieve the desired aesthetic.
Balance Due: Payment of the remaining balance in full is required at least 30 days before the wedding. Please be advised that failure to complete the payment may lead to cancellation and termination of the contract. In the event that the contract can still be honored, a 10% surcharge will be applied to the outstanding balance, with an additional 10% surcharge for every seven days that the payment remains outstanding. Any additional expenses resulting from late payment will be transferred to you.
Location and Setup: The rental price listed is for one location with one setup only. Additional charges will be incurred if the desired rental item needs to be moved from the ceremony to the reception or elsewhere. Should any item require relocation, an extra fee for moving and setup will be required. Please be aware that our arches, arbors, pillars, and backdrops are large and cannot fit through standard doorways. They must be disassembled, involving our movers and/or team members in removing the florals, disassembling the item, transporting it to the new location, reassembling it, and reapplying the florals. We insist on our own team handling the movement of any items due to insurance reasons; our insurance does not cover anyone outside of our team handling our items.
Delivery and Pickup: Every order encompasses delivery, setup, and pickup services. Our pickup timeframe concludes no later than 9:30 PM, while deliveries are confined to a 20-mile radius of Chantilly, VA. Any pickups occurring after 9:30 PM will be subject to an extra charge. For orders surpassing the 20-mile radius, a delivery fee of $1 per mile will be applied, with a maximum distance limit of 70 miles. Kindly reach out to us for a delivery estimate.
Late Night Pickup Fee: Any pickups past 9:30 PM will be subject to a late-night pickup fee:
9:30 PM ~ 10:00 PM: $100.00
10:00 PM ~ 11:00 PM: $200.00
11:00 PM ~ 12:00 AM: $300.00
Product Handling: No rental items, including pillars, arches, aisle flowers, and floral arrangements, may be left outdoors overnight due to the risk of damage, particularly from rain. If adverse weather conditions are anticipated, such as rain, and the arch is situated outdoors, we will promptly retrieve it to prevent any harm. Unauthorized transportation, dismantling, or relocation of our products is strictly prohibited without prior written consent.
Any damage incurred beyond natural wear during the rental period will result in a charge to your card equivalent to three times the rental price of the item. Failure to return an item within the agreed rental period will incur a charge of five times the rental cost, and you will be permitted to retain the item. Rest assured, your credit card information is securely stored and will be deleted upon the return of the items.
To maintain the coherence of the wedding decor, all decor details must be communicated to Bella le Fleurs. Please note that Bella le Fleurs does not guarantee any decor not provided by us, even if our items are incorporated. In such instances, any necessary adjustments will be made to ensure consistency, and Bella le Fleurs shall not be held liable.
Venue and Location Limitations: Bella le Fleurs operates within the regulations and directives set forth by the venue(s) and site management. The responsibility for negotiating any adjustments to these guidelines lies with The Customer; Bella le Fleurs will provide technical advice exclusively. Please be aware that refunds will not be provided for unused items resulting from venue limitations that were not communicated to Bella le Fleurs.
Liability: Bella le Fleurs shall not be liable for any damages, injuries, or losses arising from the use of rental items, except in cases of negligence on our part, while our privacy policy outlines how client information is handled and protected.
Adverse Weather Clause: Bella le Fleurs maintains the right to prioritize the safety of its staff, clients, and the quality of its products. Should adverse weather conditions, such as wind gusts exceeding 10mph, be predicted or occurring during the scheduled setup time, Bella le Fleurs reserves the option to postpone or cancel the setup of its products if an appropriate location cannot be determined.
Force Majeure: In cases of unforeseeable events beyond our control, such as acts of nature or government actions, the contract may be impacted. We will work with clients to find suitable solutions.
Notification and Rescheduling: If Bella le Fleurs assesses that adverse weather conditions might affect the setup, Bella le Fleurs will endeavor to promptly inform the Client using the provided contact details. Bella le Fleurs and the Client will subsequently engage in dialogue to determine the most suitable course of action, which could involve rescheduling the setup for a mutually acceptable date and time, contingent upon product availability and the conditions stipulated in the initial contract.
Cancellations: A 90-day cancellation notice is required for a partial refund of your retainer. However, in the case of unforeseen circumstances such as war, fire, tragedy, pandemic, natural disaster, or other emergencies within 90 days of your wedding, your retainer can be transferred to another date at no additional charge.
Retainers will not be refunded in full, excluding payment processing fees, communication time, proposal preparation time, event preparation time, and banking institution refund fees.
Bella le Fleurs reserves the right to cancel this contract if it deems that obligations cannot be fulfilled. Any payments made will be credited back to you, minus actual costs incurred up to the point of notification by Bella le Fleurs.
Any dispute or claim arising from or related to this contract, or its violation, will be resolved through arbitration conducted by the American Arbitration Association, following its Commercial Arbitration Rules [including the Optional Rules for Emergency Measures of Protection]. The arbitration proceedings will occur in Fairfax County, Virginia, presided over by a single arbitrator. The decision made by the arbitrator may be enforced in any court with jurisdiction.
